AI Receptionist & Booking

A receptionist that books straight into your calendar.

The Middlesurf AI receptionist answers the phone and books, reschedules and cancels appointments in the calendar or practice software you already use. Then it sends confirmations and reminders by text and email, so fewer people forget to show up.

A person in a parked car glances at a text message on their phone on a summer morning.

The problem

The phone rings while someone is checking out.

Your front desk is in the middle of a payment when the phone rings. It’s someone moving Thursday’s appointment. Then a new patient asks if you take their insurance. Then a voicemail from last night wants to cancel.

None of it is hard, but all of it takes time away from the person standing at the counter. Meanwhile the empty slot from that cancellation stays empty, and the person who forgot their appointment doesn’t show up.

What it does

What the AI receptionist handles

  1. Books new appointments.

It checks real availability and follows your rules: appointment types and lengths, which provider or crew, buffers, and new versus returning clients.

  2. Reschedules and cancels.

It finds the next open time, moves the booking and frees the old slot so someone else can take it.

  3. Collects what you need, and only that.

Name, phone, email, reason for the visit, and the service address for on-site jobs. It reads details back to confirm spelling and numbers.

  4. Sends confirmations and reminders.

A text and email right after booking, then reminders before the appointment so people can confirm or ask to reschedule.

  5. Answers the questions people ask before booking.

Parking, what to bring, how long the visit takes, whether you see new patients. You decide what it says.

  6. Knows when to hand off.

Clinical questions, complaints and billing disputes go to your staff, with a summary of the call.

How it works

What a booking call looks like

  1. A caller asks for a cleaning next Tuesday afternoon.

  2. The receptionist checks your schedule for open times with the right hygienist.

  3. It offers two options.

    The caller picks 3:30.

  4. The appointment is written to your calendar or practice software, with the caller’s details attached.

  5. A confirmation goes out by text and email before the call ends.

  6. Reminders follow on the schedule you set, so the slot is either kept or freed in time to fill it.

Your rules

Your schedule, your rules.

You set when it can book, how far ahead, which appointment types are open to new clients, and which ones always need a person. It books only into slots your calendar shows as free and never overrides a block your team has set.

Integrations

Works with the calendar you already use

We connect the receptionist to your calendar and your practice or job software, so bookings show up where your team already looks.

Using different software? Tell us what you use. If it has an API or a booking integration, we can build the connection.

FAQ

Questions buyers ask

Will callers know it’s AI?
Yes. We recommend the receptionist introduces itself as your AI assistant at the start of the call, and we set it up that way. Callers who want a person can be transferred or offered a callback.
Can it book into our practice software, not just Google Calendar?
In most cases, yes. We build the connection to your practice software. Systems differ in how they allow outside booking, so we confirm exactly what’s possible with yours during discovery, before you commit.
Will it double-book us?
It books only into times your calendar shows as open when the caller is on the line. If your software syncs on a delay, we set the rules to allow for that.
What if a caller wants a specific provider or technician?
It checks that person’s availability first. If they’re booked up, it offers the next opening with them or a similar time with someone else, whichever your rules allow.
What happens when the AI can’t answer?
It says so, then transfers the call, books a callback or takes a message, depending on how you’ve set it up. It doesn’t guess about clinical, legal or billing questions.
Does it speak French and other languages?
Yes. It detects the caller’s language and books in it: English, French and many other languages, switching mid-call if the caller does. Confirmations and reminders can go out in the caller’s language too.
Do we have to change our phone number?
No. Keep your number and carrier and forward calls to the receptionist: all calls, after hours only, or when nobody at the desk picks up. If you’d rather move, we set up a new phone system and port your numbers.
