Real estate & property management

First to answer gets the showing.

Middlesurf’s AI assistant responds to new leads in seconds, books showings into your calendar and takes tenant requests around the clock — then hands the right ones to you or your on-call team.

A building superintendent holding a ring of keys chats with a tenant in an apartment lobby.

Leads and leaks

Leads don’t wait. Leaks don’t either.

A buyer sees your listing at 10 pm and calls. You’re at a showing, at dinner or asleep. By morning, they’ve booked with the agent who picked up.

For property managers, it’s the other way round: the phone rings at 2 am because water is coming through a ceiling, and the next morning brings a stack of calls about parking, keys and rent receipts.

What it handles

What your AI assistant handles

Answers the listing call while it’s hot.

The agent answers questions about the property from your listing details — price, size, parking, condo fees, showing availability — and asks the questions you’d ask: timeline, financing, current home to sell.

Books the showing.

Interested buyers or renters book a viewing straight into your calendar, get a confirmation and a reminder, and you get a summary of the call before you meet them.

Takes tenant maintenance requests — and knows what’s urgent.

Tenants report a problem any time. The agent logs the request with the unit, the issue and access details, and follows your rules for emergencies — flooding, no heat, lockouts — by paging your on-call staff. We connect it to your property management software, so requests land where your team already works.

Handles the routine questions.

Office hours, garbage day, parking rules, how to pay rent, where to send a moving notice. Your staff stop answering the same ten questions every day.

Keeps past clients and leads warm.

Open-house visitors, past buyers and old leads get timely, relevant follow-ups. Outbound calls and texts follow CASL and CRTC rules — we build consent, opt-outs and Do Not Call handling in.

Fair housing

Screening questions that stay on the right side of the law.

In Ontario, the Human Rights Code prohibits discrimination in housing. We write the agent’s rental questions with you so they stick to what you’re allowed to ask, and the agent asks every caller the same way.

Privacy

Tenant and buyer information stays private.

Your calls include income details, employment, family situations, entry instructions and unit numbers. Middlesurf handles it carefully:

  • Stored in Canada. Recordings, transcripts and summaries are kept on Middlesurf’s own servers in Canada.

  • In writing. We tell you which AI services handle your calls and where everything is stored.

  • Entry details kept out. Access codes and entry instructions can be left out of texts and summaries where you choose.

  • You set retention. You decide how long records are kept.

  • Built for Canadian privacy law. Designed to support PIPEDA and Quebec Law 25 obligations.

This is a plain-language overview, not legal advice.

Sample use case: transcript of a call
  1. AI assistant

Thanks for calling the property management office. I’m the after-hours AI assistant. How can I help?

  2. Tenant

There’s water dripping from my bathroom ceiling. I think it’s coming from upstairs.

  3. AI assistant

Thanks for calling right away. What’s your building and unit number?

  4. Tenant

(Gives the building address and unit number.)

  5. AI assistant

Is the water near any lights or outlets, and is it getting worse?

  6. Tenant

It’s near the light, and it’s getting faster.

  7. AI assistant

Please turn off that light at the switch and keep away from it. I’m marking this as an emergency and calling our on-call superintendent now — they’ll call you back shortly. I’m also texting you a reference number for this request.

FAQ

Questions brokers and property managers ask

Can it answer questions about a specific listing?
Yes, from the listing details you give it, or we connect it to your listing feed. If it doesn’t know, it says so and books a call with you.
Does it work for a whole brokerage or just one agent?
Either. It can route leads to the listing agent, a team or a round-robin of agents, following the rules you set.
How does it handle emergencies for tenants?
You define what counts as an emergency and who’s on call. The agent pages them, transfers the call or both, and logs everything.
Does it tell callers it’s an AI?
Yes, by default. You approve the exact greeting.
Can it answer in French or other languages?
Yes. It detects the caller’s language and answers in it — English, French and many other languages — and switches mid-call if the caller does.
Do we have to change our phone number?
No. Keep your number and carrier and forward calls to us — all calls, after hours only, or when nobody picks up.
What does it cost?
It depends on call volume, number of agents or units, and integrations. We give you a written quote after Discover.
